Buying checklist. A request for an AI server is incomplete until it describes the workload. A document-search service, a batch classification job and an interactive assistant can impose different constraints. This checklist proposes questions for suppliers; it does not rank hardware or claim benchmark results.

Describe the job the infrastructure must finish

Record input sizes, expected output sizes, concurrency and the waiting time users can tolerate. Include quiet periods as well as peak demand. Ask suppliers to explain how their estimate changes when the request mix changes.

Use a representative sample with confidential material removed or appropriately protected. Keep the same acceptance criteria across hosted and self-managed options. A cheaper run that produces unusable answers is not a cheaper completed task.

Ask for the complete operating cost

  • What is charged while capacity is idle?
  • Which storage, networking and support items are separate?
  • Who performs updates and investigates failed jobs?
  • How are backups restored and access revoked?
  • What happens if the preferred model becomes unavailable?

Our suggested comparison is cost per accepted task plus the effort needed to operate the service. Keep purchase price and ongoing cost separate so a low initial quote does not hide maintenance work.

Make ownership part of the purchase

The NIST AI Risk Management Framework is a voluntary resource for managing AI risks. It can inform the questions you ask about responsibilities and evaluation, but it is not a hardware certification.

Document who owns each dependency and which failure modes stop the service. If a supplier cannot describe recovery or export, record that as an unresolved buying question. Follow with a bounded pilot using the same measurement checklist before committing to a larger footprint.
